BeKubed Ltd ("BeKubed", "we", "us") is a software engineering studio registered in England and Wales, company number 16187823, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. What we collect and why
Contact enquiries
If you send an enquiry through the contact form, we collect your name, email address, company name (if provided), what you are looking for, budget range, timescale and your message. We use this information to respond to your enquiry and to discuss potential work. Our lawful basis is taking steps at your request prior to entering into a contract, and our legitimate interest in responding to business enquiries.
Project assessments
If you complete the free project assessment, we collect your answers about the project (project type, audience, stage, desired outcome, features, integrations, budget range and timescale), any free-text descriptions you choose to provide, and the contact details you enter on the final step. We use this information to review your idea and send you a personalised assessment. You should not include confidential or commercially sensitive information at this stage.
While you move through the assessment, we also record which steps were viewed or abandoned, together with your non-personal answers, so we can understand where the assessment works well or loses people. Your name, email address, company, website and free-text notes are not included in this step-level data; they are only stored when you press submit.
AI-assisted analysis
We may use AI tools to accelerate the initial analysis of a submitted assessment. Every assessment is reviewed by a software engineer before any recommendation is sent to you. No decision producing legal or similarly significant effects is made about you by automated means.
Website analytics
We use Umami, a privacy-focused analytics platform, to understand general website usage: page views, referrers, traffic sources, landing pages and clicks on key buttons. This data does not include your name, email address or assessment answers. Umami does not use cookies and does not build cross-site profiles.
Where your information is stored
Enquiries and assessment submissions are stored in a private database operated for us by Supabase, our hosting and database provider, and we aim to keep this data on servers located in the UK or European Economic Area. In the limited cases where a provider processes data outside the UK or EEA, we rely on safeguards recognised under UK data protection law, such as adequacy regulations or standard contractual clauses.
Your browser also stores a small amount of data locally: a random session identifier used to link your visit to your assessment, and, if a submission cannot be sent, a temporary local copy of your answers so they are not lost. This local data stays on your device and you can clear it at any time through your browser settings.
How long we keep it
We keep enquiries and assessment submissions for as long as needed to respond and to discuss potential work, and review stored data periodically. If a conversation does not lead to work, we aim to delete or anonymise the related personal information within 24 months. Data connected to an ongoing or completed engagement may be kept longer where we have a contractual or legal reason to do so.
Who we share it with
We do not sell personal information and we do not share it with third parties for their own marketing. Information is shared only with service providers who process it on our behalf (such as our database, hosting and email providers), under contracts that restrict how they may use it, or where we are required to disclose it by law.
Your rights
Under UK data protection law you have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information
- Restrict or object to how we use it
- Receive a copy of information you provided in a portable format
- Withdraw consent where processing is based on consent
To exercise any of these rights, email hello@bekubed.com. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
